Reschedule (allocate suitable resources)

You can use drag and drop rescheduling to select a new start time for an activity. Enterprise Timetabler indicates times when suitable resources are available. After you choose a time, Enterprise Timetabler allocates the most suitable resources.

Before you begin: In Reschedule an activity, follow steps 1 and 2, and optionally step 3.

About this task: In the timetable area, blue diamonds (see 1, below) indicate valid start times. Resources that you have full permission to use are available at these times. To include resources that you have request permission to use, use request mode. The start times satisfy the hard constraints of the following items:

  • The activity.
  • Items that are associated with the activity, such as its module or student sets.
  • Resources that are suitable for the activity.

A green bar (see 2, below) behind each diamond or triangle indicates how suitable the start time is. The highest green bars indicate the best start times. For more information about the green bars, see Show scores. To hide the green bars, click Show Scores (3) on the Timetable toolbar.

To use drag and drop rescheduling, follow these steps:

  1. Review the scheduling preferences and scheduling options to ensure that their settings are appropriate.
  2. Review the choice of start times.

    Note: In a timetable cell that represents an invalid start time, Enterprise Timetabler displays coloured bars. See 4, above. For more information about why the activity cannot be scheduled at that time, right-click on the corresponding timetable cell; reasons are displayed in the Reasons tab (5). By default, eight reasons are displayed; you can modify the limit.

    Tip: Enterprise Timetabler can determine which activities prevent the use of an invalid start time. For each blocking activity, Enterprise Timetabler identifies whether it can be rescheduled or its resources reallocated, so that it no longer blocks the activity that you want to reschedule.

  3. Choose a new start time for the activity, then drag the activity to the corresponding position in the timetable. Enterprise Timetabler allocates resources.

    Note: The criteria that is used to identify suitable resources depends on the current timetable view.

    Combined timetable

    If you use the combined timetable view, a suitable resource has the following characteristics:

    • It satisfies the activity's requirements. Note: If the activity has a preset requirement for a resource, only the start times when that resource is available can be valid.
    • It is owned by or shared with the activity's department.
    • If the resource is a location, its capacity is equal to or greater than the activity size.
    • If the resource is a location, it has a zone that matches or is part of the activity's zone.

    Master timetable

    If you use the master timetable view, the criteria that are applied depend on the item type that you selected in the Views pane. For example, if you view the timetable of three locations, the validity of each location depends on the suitability criteria of the selected activity. The location must also have a capacity that is equal to or greater than the activity's size; or, if the currently allocated location is too small for the activity, the new location's capacity must be equal to or greater than the current location's capacity.

    For other item types, validity depends only on the suitability criteria of the selected activity.

    If necessary, you can allocate a resource other than the activity's preset resource.

    To allocate a particular resource, drag the activity onto its row; the rows that correspond to invalid resources are greyed out.

Result: Refer to the Result section in Reschedule an activity.

Note (if you are using the combined timetable): If the resource that you selected in the Views pane is no longer allocated to the activity, then the activity is no longer displayed in the timetable that you are currently viewing.
