Add a flexible resource requirement to an activity

You can create flexible requirements for resources. Enterprise Timetabler can allocate any resource that satisfies the requirements.

About this task: One component of a flexible requirement is a list:

  • A list of suitabilities that collectively describe a suitable resource. For example, a lecture might require a location has all the following suitabilities: lecture hall; audio speakers.
  • A list of suitable resources. You might want a lecture to be allocated one of three specific lecture halls.
    • Your access to resources is controlled by the permissions that are assigned to you. So, you can create requirements only for resources that you have access to. For more information about permission levels, see Permission levels.

To add a flexible resource requirement to an activity, follow these steps:

  1. In the table in the Activities pane, or in the timetable area, click the activity that you want to add a requirement to (see 1, below). Then, click the Resources tab (2) above the timetable area.
  2. Depending on the type of resource that you want to create a requirement for, click the plus icon (3) in the top corner of the Location row, Staff row, or the Equipment row.
  3. Follow the steps below to specify a list of suitabilities, or to specify a list of suitable resources.

To specify a list of suitabilities, follow these steps:

  1. In the Number box (4), type or select the number of resources that are required. For example, an activity might require two members of staff.
  2. Click the arrow button that forms the side of the Suitabilities table (5).
  3. Move suitabilities that describe the required resources from the Available list to the Selected list:
    1. Select suitabilities in the Available list. You can select multiple suitabilities.
    2. Click the arrow button (6) that points towards to the Selected list. The suitabilities move to the Selected list, and are added to the Suitabilities table.
  4. Note: The Manual selection table lists the resources that fulfil the suitability criteria; are owned by or shared with the activity's department; and if the resources are locations, have a zone that matches or is part of the activity's zone, and a capacity that is equal to or greater than the activity size.

To specify a list of suitable resources, follow these steps:

  1. Optional: To begin with a list of resources that satisfy specific suitability criteria, select suitabilities as described above.
  2. Click the arrow button that forms the side of the Manual selection table (see 7, above)
  3. Add and remove resources from the Selected list until it contains the resources that you want the flexible requirement to consist of. The Suitabilities table is cleared, because the Manual selection table no longer contains every resource described by the suitabilities that you selected earlier.

What to do next: At the bottom of the Resources tab, click Change Requirement. Enterprise Timetabler saves the requirement, then displays it in the Requirements column:

  • A requirement that consists of a list of suitabilities is displayed as the number of resources that are required, followed by the chosen suitabilities. For example, 1{Lecture Theatre, Audio Speakers}. Tip: If the requirement exceeds the width of the column, the text is truncated. To view full details of the requirement, click the plus icon in the relevant row of the Resources tab, or widen the Enterprise Timetabler window.
  • A requirement that consists of list of suitable resources is displayed as the number of resources required, followed by empty braces. For example, 2{}.

If the activity is currently scheduled, Enterprise Timetabler generates an Avoid Resource Mismatch problem if the currently allocated resource does not meet the new suitability criteria.
