About Enterprise Desktop Reference Data Manager

Enterprise Desktop Reference Data Manager (EDRDM) enables you to:

  • Create and maintain the data that underpins timetabling, course planning, and the definition of resources. For example, you can define activity types, departments, suitabilities, and zones. This data can be applied to many different types of items, such as activities and resources, across the entire institution.
  • Create staff, locations, and equipment (which are collectively termed resources) .
  • Edit and maintain the properties of resources. For example, you can specify a resource's zone, suitabilities, owning department, and its tags and groups. Also, you can specify which constraint profiles and availability patterns apply to the resource.
  • Define time-based constraints, which you can apply to resources.
    • You can create individual constraints, then build them into constraint profiles that you apply to resources. For example, you can apply a constraint profile to particular staff members; one of the constraints that the profile contains might stipulate that each week must consist of no more than 60 periods of activity.
  • Define named availability patterns, named starts preference patterns, and named usage preference patterns, which you can apply to resources, and to parts of the course structure such as modules.
    • For example, you can create a start preference pattern that contains a preference that activities begin on the hour. Then, in Enterprise Course Planner, you can apply that pattern to a module.

Before you can construct a timetable, you must use EDRDM to model the available resources, and describe the constraints and preferences that influence how they are used. For example, the staff, locations, and equipment at your institution might be subject to constraints and preferences like these:

 

Constraints and preferences

Staff

  • Might be available only for teaching that is delivered by their department.
  • Individual staff members might have personal preferences about when they deliver their teaching.
  • Working practice agreements might dictate that each member of staff has a lunch break of at least one hour between 12:00 and 14:00.

Locations

  • Staff and students might have a preference that travel time between their activities is minimised. To achieve this, Enterprise Timetabler can refer to travel tables during timetabling and location allocation. Travel tables describe the travel time between locations and zones.
  • A building might be closed at a particular time of day. All locations within the building are unavailable during that time.
  • An activity might have very specific requirements of its location. For example, the location might need to be wheelchair accessible and contain a data projector. These requirements are the activity's "suitability criteria". In EDRDM, you can describe a location's characteristics by assigning particular suitabilities to it. Describing each location in this way enables Enterprise Timetabler to allocate a room that matches the activity's suitability criteria.

Equipment

  • Might be centrally owned and available to all departments.
  • The timetable must provide sufficient time for equipment to be transported between classes.
