Set the resource requirements of an activity template

You can create flexible or preset resource requirements for an activity template. These requirements determine which resources are allocated to activities that are created from that activity template, when those activities are scheduled. A flexible requirement is a set of suitabilities that describe a suitable resource; Enterprise Timetabler can allocate any resource that fits the description. A preset requirement is a list of specific resources that the activity requires.

To set the resource requirements of an activity template, follow these steps:

  1. Open an activity template list.
    • To open a list of all activity templates, click Activity Templates in the View menu.
    • To open a list of activity templates that is filtered by department, click the Department box in the toolbar above the Enterprise Course Planner dashboard, select a department, then in the Templates section of the dashboard, click Show (beside the Total value).
    • To open a list of activity templates that are associated with a particular module, open a module list (for example, click Modules in the View menu). Then, in the row that contains the module whose templates you want to modify, click the plus sign (1, below) beside the module name. Enterprise Course Planner lists the module's activity templates in an Activity Template tab (2). To hide the tabs, click the minus sign beside the module name. Note: If the module has no activity templates, the Activity Templates tab is absent.

  2. In the row that contains the activity template that you want to modify, click the column that contains the requirement that you want to modify. The following columns are available: Location Requirement, Staff Requirement, or Equipment Requirement. Enterprise Course Planner displays the Resource Editor. Tip: If the column that you need is not present, add it to the table.

  3. To create a flexible requirement, follow these steps:
    1. In the Requirement Number box (1, above), type or select the number of resources that are required. For example, an activity might require two members of staff.
    2. In the list of available suitabilities (2), select the suitabilities that describe a suitable resource. You can select multiple suitabilities.
    3. Click the double arrow button (3) that points towards the other list. The selected suitabilities move to the other list.

      Note: The list in the Presets area (4) is updated. It lists suitable resources, which satisfy all the following criteria:

      • fulfil the suitability criteria.
      • are owned by or shared with the activity's department.
      • if the resources are locations, have a zone that matches or is part of the activity template's zone.
      • if the resources are locations, have a capacity that is equal to or greater than the activity template's size.

    4. To close the resource editor, click the small x (5).
  4. To create a preset requirement, follow these steps:
    1. Optional: As described above, select suitabilities that describe an appropriate resource. The list in the Presets area is updated.
    2. In the list in the Presets area (4), select the resources that you want to specify as preset requirements. You can select multiple resources; all the resources will become required.
    3. Click the double arrow button (6) that points towards the other list. The selected suitabilities move to that list.
    4. To close the resource editor, click the small x (5).
  5. To save your changes, click Apply. Or, to save them and close the window, click OK.
